Recently, we’ve updated our entry system and are working with Artcall to help you get your works into our gallery. With changes comes new things to learn and we thought we’d help you out with our new entry process. This is meant to be very thorough and in-depth, so some of this may seem menial or unimportant, but I promise it is all to help you. Let’s start by choosing a show to enter into.

Choosing a Show

Out of our open entries right now, I chose to do art in abstraction, so I’m gonna click on the big red button that says “ONLINE ENTRY SYSTEM”

The Artcall Page

Next, you will be taken to our Artcall page, which should look like this:

Registering Your Account

Along with this page, you can find other important information, but I will go over that in another section. Right now, look at the left top half of the page where you can find in orange, a button that says “Register and Apply”. On the top right, you can find a blue button, “+ Register”, Unless you only want to make an account, do not press “+ Register”. You will also find a green button, “Log in”. If you already have an account, you can press login, which will immediately take you to the submissions part of the entry system. For this time around though, we will assume you are new to us and this system and press “Register and Apply”.

This will take you to a page where you will set up your account for our system. You will have to put in your first and last name, email, and password- your email is your username, so do not worry about making a username.

Once you enter your information and desired password here, please click “Create Account”. Once you click “Create Account”, you will see a pop-up on the next page:

All this is telling you is to fill out the rest of your account information, and that if you’ve forgotten to add anything, or if you need to add information- you will have until a certain date to do so. So please be sure to take note of the date in this pop-up, as it is not the same as the one in this example.

As shown at the top in the green box, once you get to this page, a confirmation email about your account will be sent to you. On the rest of this page, you will fill out the information asked for. You will also have to verify whether or not you are located within North America.

This is optional, but I highly suggest entering links to your websites and other social media. Once you are happy with what you submitted, click “Update User Profile”.

Submitting your work

Once you’ve clicked this button, you will be sent to the submissions page, it will look like this:

The first thing to note is what is in the yellow box on the page under “Pending Actions”. This is to upload your profile picture for your account, this is not where you enter your work to be juried for the exhibition.

To enter in submissions, click the “Add New Application +” box, you can click from the one at the top of the box, or on the one at the center, either one will do what you want. While the button says application, it really just means a new entry of work into the show you clicked into at the beginning of this tutorial. Clicking “New Application” does not mean you are applying to a different show.

Once you click “Add New Application +”, your screen will look like the image below. This is where you will pay for a certain number of applications, I have already clicked 2 applications ahead of time so it will look like this when you go to pay. Before you click the 2 applications the prices may seem different, but these are not our prices, this is just a base feature by Artcall that we have not yet been able to change.

An important piece of information here, as a member, you can submit two works for 30 US dollars. If you are not a member, it will cost 45 US dollars to submit two works. You can choose to pay for anywhere up to six works upfront. If you decide you want to add in any extra work after paying, you can still submit the extra work, you will just have to pay for the extra pieces after they are submitted.

Once you click “Submit Payment Charge” you will be taken to this page where you will upload details about your work. Do not worry about the “Default Category” box, just keep it as “Default Category”. In “Application Title” you will put the title of your work. Once you’ve titled your work, put in the dimensions for your work (If there is no depth or you don’t know, you can just put zero). You will also add a short description of the work, where you can talk about the meaning behind your work or the process of making your work.

A little further down the page is where you put the price of the work- if you wish to mark it as “Price on Request” or “Not For Sale” just put the price as $0.00. If you have a video or webpage for your work, you can enter a link to the page with the work. Finally, you enter in the materials used to create the works in the box marked “Media”.

To finish off the page, click “I Agree to the Terms & Conditions”. If you want to read what these terms and conditions are, click the highlighted text “Terms & Conditions”. Once you agree to the terms and conditions, click the “Submit Entry Details” Button.

In this part of the submission process, you will have to submit your image, you can just drag and drop it into the box, or click “+ Attach File” and submit your image through there.

Once you have dropped in your image, this page will open. Here, you can touch up and crop your work. This is all optional though, so if you are happy with how your image looks, click the yellow “Done” button at the top right corner.

Once you have clicked “Done”, you will get this pop-up confirming that you have submitted your work. You will have until the call for exhibition closes to edit any of the information for your work. If you wish to add another image for your work “+ Add Additional Image” button. If you’re happy with what you’ve got press the orange “Got It!” button. If you want to add any more work after submitting the first, the page you will be returned to is the user dashboard, where you will be able to click the orange “+ Add New Application” button where you will go through the same process you did for your first work.

Your submission will look like this on your dashboard, where on the right of this image you can find the yellow edit button, red delete button, and blue button to attach an additional image for your submission. To the left, you will find the blue “Print label” and “View Details” buttons.

In the view details button, it reveals all the information about your work, I’d suggest checking this after you’ve submitted your work to check for any typos or needed changes.

Points to Polish

If you are still confused, there is a green button you can press on the top left of your user dashboard, this will provide you with a video tutorial.

On the Artcall show page, you will be able to find a short description of the show along with who the juror is and additional information about them and their career.

Under the information about the juror, will also be a small blue button that will give you the prospectus of the show.

Underneath the prospectus and juror information is the exhibition schedule where you can find all the dates for notifications, receptions, and shipping dates. Below this is another entry tutorial, this one is made by Artcall, so it may have differing information you may still want to check out.

Under the Artcall tutorial and Exhibition schedule are the Terms of Entry, here you can find the requirements for each show, terms and conditions, qualifications for works, and finally information regarding sales.

Underneath the Terms of Entry is the FAQ, if you have any questions, you may wanna check here first to see if they have been answered.
